This privacy policy has been compiled to better serve those who are concerned with how their Personal Data (PD) is being used online by Oojeema, an online accounting system designed by Cid Systems, Inc. Hence, this policy is between you and Cid Systems, Inc.

Please read our privacy policy carefully to get a clear understanding of how we collect, use, protect or otherwise handle your PD in accordance with our website.

The defined terms in this Policy have the same meaning as in our Terms of Use, which You should read together with this Policy. By accessing our Website and using our Service, You consent to the terms of this Policy and agree to be bound by it and our Terms of Use.

Oojeema collects data from you.

Oojeema is an online accounting system designed to give accountants and business owners real-time information about their companies. When registering on our site, as appropriate, you may be asked to enter your name, email address, company address, phone number or other details to help you with your experience. Oojeema may also collect non-personally identifiable data such as your device type, IP address, time zone, screen size, plugin details, language preference, and so on.

Note that Oojeema does NOT store your credit card details. Instead, these are securely stored by PayPal so that we can automatically bill your credit card on a recurring basis. To check PayPal’s Privacy Policy, head on to its site.

Also, in providing the Service, Oojeema uses “cookies,” or small text files that are stored in your computer for record-keeping. These cookies are designed to identify your computer, not you as a person.

There are two types of cookies Oojeema and some of its affiliates and third-party service providers may use: persistent cookies and session ID cookies.  The former remains on Your hard drive for a longer period while the latter expire when you close your browser. These are used to track your overall site usage, your interaction with ad services, and so on.  “Do Not Track” requests are not honored at this time.

However, you may set your browser to advise you when you receive a cookie so that you may opt to accept or reject it. But please note that if you turn cookies off it will turn off some of the features of the site.

Oojeema stores your data in a secured server in the US.

Oojeema is Software as a Service (SaaS) created by Cid Systems, Inc. An IT software company located at U1822 Cityland Herrera Tower, 98 V. A. Rufino St. Cor. Valero St. Salcedo Village, Makati City, Philippines.

Hence, Cid Systems, Inc. is your Personal Information Controller (PIC) and all data collected from you are transferred to its servers via the Internet. Using the Service means you agree that your personal information shared with Oojeema is transferred to the mentioned servers.

The servers are currently located in the United States of America (USA), specifically at the Telecom Center LA–a multi-tenant carrier neutral telecom facility in Los Angeles business district. Should there be any change in the location of the servers, we will update this Policy and let you know via email. We also advise you to review this Policy regularly to stay updated.

Furthermore, Our website is scanned on a regular basis for security holes and known vulnerabilities in order to make your visit to our site as safe as possible. We use regular Malware Scanning.

Oojeema does not disclose your data to third parties without your consent.

Note, however, that although your information is stored on servers hosted in the U.S., it will remain within your PIC’s control at all times. The server host’s role is merely to host and store Cid Systems, Inc.’s data. It doesn’t have access to your personal information.

In addition, we have taken steps to make sure your personal information is inaccessible to other parties. The servers are secured with SSL Certificates from the leading certificate authority, RapidSSL. Furthermore, all data transferred between You and the Service is encrypted.

A third party may only access your personal information provided that you have explicit consent.

However, this policy may be overridden in legitimate grounds such as when your personal data is needed for a subpoena or when your PIC has a legal obligation to disclose such information. If possible and appropriate, we will notify you via the email address you provided if the law requires us to disclose your personal information.

 

Oojeema keeps your information for only a limited time.

Oojeema keeps your information for as long as we need to provide you with the Service. That is for as long as you are subscribed to our Service. Once you have chosen to unsubscribe or terminate your account with us, your records shall also be deleted from our servers.

However, we may extend keeping Your personal information for purposes required by the law.

Oojeema will let you know if your information has been compromised.

Although your information is stored on secure servers, safe from unauthorized access, modification, or disclosure, the Internet in itself is not a secure environment. Thus, we cannot guarantee that Your information is secure at all time.

You should understand the risk of transmitting your personal information over the Internet and should only enter your such information to the Service in a secure environment.

Nonetheless, should there be a security breach where Your personal information is lost, stolen, accessed, used, disclosed, copied, modified, or disposed of by any unauthorized persons or in any unauthorized manner, we will notify you at the first reasonable opportunity.

For this reason, we advise you to provide us with the accurate and updated data only.

Oojeema allows you to access your data.

You have the right to access all the information we have about you anytime provided that the request is done in writing and sent to [email protected].

We will process your request the soonest practicable time. However, we may be prevented from doing so on legal grounds, if it may have an impact on the privacy of other individuals, if the deadline you requested is not feasible on our side, or any similar circumstances.

In such events, we shall let you know in writing if your request may be granted or not.

Oojeema allows you to rectify your data.

You may have your data corrected any time to ensure your personal data are accurate and up-to-date.

To request for data rectification, send an email to [email protected] and we will act on it immediately unless, otherwise, the request is unreasonable. We will then inform you once your personal data has been rectified.

Oojeema allows you to download your data.

You may have a portable copy of your data by clicking the download button on the site.

Oojeema allows you to file a complaint.

Oojeema team will endeavor to:

  • provide an initial response to Your query or complaint within 10 business days, and

Security Policy

Our hosting and service delivery infrastructure ensures the highest level of security. This is supported by a world-class network, data and physical security environment. Security is an ongoing process, not a singular event – we continuously evaluate and reinforce our security policy and practices. Here are just some of the security precautions we take.

 

SSL

Our servers have SSL Certificates signed by global leaders in certificates, RapidSSL, so all data transferred between the users and the service is encrypted. The encryption is the same as that used for Internet banking.

User passwords

Users must choose a h4 password and automatic lockouts are enforced when incorrect passwords are repeatedly entered. We don’t allow the browser to save your login, which eliminates access from a stolen or compromised computer. If you leave your computer unattended for an extended period, you will be automatically logged out.

Physical security

Our servers are located within Telecom Center LA – a multi-tenant carrier neutral telecom facility located in the heart of the downtown Los Angeles business district. Security to the building is 24/7 and access is restricted to authorized staff by a combination of special keys, and there are multiple cameras which record all the entering and exciting of the building.

 

Firewalls & network security

All of our servers are hooked up to APC remote reboot ports in the event that they lockup for any reason. All of the servers are protected by state-of-the-art hardware firewalls, where we have Cisco PIX for the network, as well as additional software firewalls for the servers. Everything is logged and routinely scanned by our system administrators.

Data protection

Oojeema provide 3 levels of backups. We have offsite backups so in the event of a disaster, your data is always safe. All of our servers have Hardware RAID as well as backup drives on the servers themselves, ensuring that your data is safe with us.
